scheduling
One of our greatest challenges is being able to provide every patient an appointment at the time they request one. We certainly try very hard to accomplish this. You can also help us.
annual exams
Schedule these with your regular physician. Please try to schedule well in advance. The farther ahead you plan, the easier it is to offer you the time that is most convenient for you. Many patients make their next appointments while they are still in the office for their current exam. Please write down the date and time of the next appointment or allow us to provide you with a reminder card. Your attention to this detail will save us many calls each day asking us to look up time of appointments. If your regular physician is on vacation, one of the other providers will be happy to accommodate you if they have available time.
office visits
If you are experiencing any problems and you need to be examined, please try to call early in the day. We will always see any ill patients on that day if necessary. Sick visits are usually seen by one of the practitioners. We make a certain number of appointments available on the schedule daily. Your regular physician may not have any availability to see you on the day that you have an emergency. If your physician does have availability, we will be happy to put you on their schedule. As a rule we do not double book patients. The reason for this is that it causes excessive waiting time. We want to make your visit as pleasant as possible. We value our patients and respect your time.
lateness & waiting time
Occasionally, there is a wait to see your provider. There can be several reasons for this.
The main reason we run late is because patients arrive late for their appointments. If there have been any changes in your insurance information or your address, home or work phone, please come to the office fifteen minutes before your appointment. This will allow us time to verify your insurance and update your chart in a timely manner. It will help us run on time.
Another reason why we sometimes run late is because some patients need more time. Occasionally, a routine examine can uncover a problem.
The final reason we run late is because emergencies happen. Occasionally, we are short staffed due to a provider being on vacation or because they have a personal emergency. If a patient goes into labor, a physician may have to go to the hospital to cover labor and delivery. As I am sure you know, babies are unpredictable. They tend to announce themselves at inconvenient moments. We try so hard not to inconvenience anyone.
canceling your appointment
If you must cancel your appointment, please give us the courtesy of at least 24 hours notice. This allows us to schedule another patient in your place. Please note the date, time and person that you spoke with when you called to cancel your appointment. Patients who fail to notify us within 24 hours will be charged a $100 fee for a missed appointment, no exceptions.
